The short version
- Diarise the CP12 renewal a month early, not on the expiry date
- List every gas appliance in the property, including fires nobody uses
- Give the tenant their copy and keep records for two years
- Book service and CP12 together so the appliance is maintained, not just tested
The annual routine
Run the same sequence for every property each year.
- Confirm the appliance schedule is still accurate
- Book the CP12 with a month of headroom before expiry
- Add the annual boiler service to the same visit
- Check carbon monoxide alarms are present and in date
- Issue the certificate to tenants and file your copy
- Note any advisory items and plan the remedial work
Access problems, handled properly
Give written notice, offer more than one appointment window, and record every attempt. Documented reasonable attempts are what protect you if a certificate lapses because of access refusal.
Portfolio scheduling
For multiple properties, grouping inspections into one visit block reduces cost and makes renewals predictable. We issue digital certificates so your records stay in one place rather than in a glovebox.
Common questions
How long must I keep records?+
Gas safety records must be kept for two years.
Does the tenant need a copy?+
Yes — existing tenants within the required period after the check, and new tenants at the start of the tenancy.
Do I need a CO alarm?+
Requirements apply to rooms with fixed combustion appliances. We check and advise during the visit.
Can you handle several properties on the same day?+
Yes, where access allows we schedule them together.
